Rental Management in Poland – What a Management Company Costs and Whether It Pays Off (2026)

A company managing a long-term rental usually takes 8–12% of the monthly rent, plus a one-off fee for finding a tenant, most often 50–100% of one month's rent. For short-term lets, operators charge 20–35% of revenue. Below we compare the fee models, the scope of services and the contract with a manager, and, using median 2-bedroom flats from our offer, we calculate how much net yield you give up by handing the rental to someone else.

How much rental management costs – fee models
There are several ways to settle up with a management company. Most often you will meet a mixed model: a one-off fee when the flat is let and a monthly commission charged only when the tenant pays rent. The commission is usually calculated on the rent excluding service charges and utility prepayments.

Some companies also offer so-called guaranteed rent: they sublet your flat for a fixed amount and earn on the difference. You then get a predictable transfer regardless of vacancy, but the amount is usually lower than the market rent and the legal relationship differs from ordinary management – check the contract for who is liable for damage in the flat and how it can be terminated.
When comparing offers, check whether the price is quoted net or gross. If the company is an active VAT payer and quotes net prices, it will add the tax to the invoice – and as a private landlord you cannot reclaim it.
What does a rental management service include?
Full service covers the whole rental cycle – from the first advert to settling the deposit after the tenant moves out. The scope differs between companies, so compare offers item by item:
- Preparation and adverts – photo shoot, description, publication on portals, flat viewings.
- Tenant screening – income, employment, debtor-database history, interview.
- Contract and handover – drawing up the contract (e.g. an occasional rental contract, najem okazjonalny), a handover protocol with photos, collecting the deposit.
- Settlements – monitoring payments, chasing arrears, settling utilities and owners' association charges, monthly statements.
- Defects and inspections – contact with the tenant, ordering repairs, periodic checks of the flat's condition.
- Turnover – notice, taking the flat back, settling the deposit, quickly finding the next tenant.
You usually cover the cost of repairs, cleaning or refreshing the flat yourself – the manager organises them but does not finance them. Contract with the management company – form, liability, power of attorney
The profession of property manager was deregulated by the Act of 13 June 2013 – since 1 January 2014 there has been no licence and no central register of managers. Under the Real Estate Management Act, a manager is a business carrying out property management activity (art. 184a). The lack of a licence does not mean a lack of rules:
- A property management contract requires written or electronic form, on pain of invalidity, and its scope is set by the contract itself (art. 185 para. 2).
- The manager is subject to mandatory liability insurance, and a copy of the policy valid on the day of signing is an annex to the contract. If the manager does not provide the document within 7 days of a written request, you can terminate the contract with immediate effect (art. 186 para. 3–3b).
- Some companies instead conclude a services contract – the provisions on mandate contracts apply to it accordingly (art. 750 of the Civil Code).
For the company to sign rental contracts on your behalf, it needs a power of attorney. A general power of attorney requires written form on pain of invalidity, and for an act that requires a special form to be valid, the power of attorney is granted in the same form (art. 99 of the Civil Code). A rental contract for longer than a year should itself be in writing – otherwise it is deemed to have been concluded for an indefinite period (art. 660). In practice, grant the power of attorney in writing and limit it to specific acts – letting, collecting the deposit, ordering minor repairs up to an agreed amount – rather than giving the company a general power of attorney.
In the contract with the manager, check above all: what the commission is calculated on, whether you pay for renewing the contract with the same tenant, the limit on repairs without your consent, the deadline for transferring rent to your account, liability for arrears and for damage caused by the tenant, the notice period and contractual penalties.
Tax: with the flat-rate tax, the manager is not a deductible cost
Private rental income is taxed with the flat-rate tax on recorded revenue: 8.5% up to PLN 100 000 of revenue and 12.5% on the excess. The flat-rate tax is paid on revenue, so the manager's fee – like renovations or furnishings – does not reduce the tax. Revenue is the whole rent paid by the tenant, even when the company collects it into its own account and passes you the amount less its commission. In practice this means that every zloty of commission reduces your net profit in full. It is different with rental within a business taxed on general rules or at a flat rate – there the manager's expenses can be a cost, but social contributions and bookkeeping are added, so that is a decision for a conversation with your accountant.
Rental yield on your own and with a manager – an example from our offer
We took median 2-bedroom flats based on TM Invest offer data as of 27.09.2026: in Wroclaw PLN 662 405 for 40.8 m², in Warsaw PLN 755 824 for 39.4 m². Rent is floor area × the average NBP (National Bank of Poland) rental rate for the first quarter of 2026 (Warsaw PLN 85.1/m², for Wroclaw the average of the group of 6 cities – PLN 67.5/m²): PLN 2 754 in Wroclaw and PLN 3 353 in Warsaw.
Our assumptions, as in the article on rental yield: 95% occupancy, 8.5% flat-rate tax, property tax PLN 1.25/m², a reserve for repairs and insurance of 5% of annual rent, running costs paid by the tenant, fit-out PLN 2 200/m² (Wroclaw) and PLN 2 500/m² (Warsaw), purchase for cash. Variants with a manager: a commission of 8% or 12% of rent actually received, or a fixed fee of PLN 350 a month, in each case plus 100% of one month's rent for a tenant every 24 months (that is half a month's rent a year). We treat the manager's rates as gross.

Step by step for Wroclaw, 8% variant. Annual rent 33 048 PLN; at 95% occupancy 31 396 PLN comes in. The 8.5% flat-rate tax is 2 669 PLN, property tax 51 PLN, reserve 1 652 PLN – on your own, 27 024 PLN is left. The manager takes 8% of 31 396 PLN, i.e. 2 512 PLN, plus 1 377 PLN a year from the tenant fee. After its fee, 23 135 PLN is left, or about 1 928 PLN a month instead of 2 252 PLN. Net yield falls from 3.6% to 3.1%.
Conclusion: the manager "costs" about 14–21% of net income, which in this example is about 320–520 PLN a month. This is a calculation worth weighing against the time you spend on the rental and against the risk of longer vacancy or a poorly chosen tenant. The fixed fee comes out better than the 12% commission at a higher rent (Warsaw), and at a lower rent (Wroclaw) it is more expensive than both percentage variants. Managing a short-term rental – commission and real cost
With nightly lets the operator handles pricing of stays, the calendar, guest communication, check-in, cleaning and laundry. Hence the higher rates: in the price lists of companies from Warsaw and Wroclaw we saw 20–35% of revenue (September 2026). The booking portal's commission and payment fees are usually deducted before the operator's fee is calculated, or alongside it – in total this can mean that clearly less than half of the nightly price reaches you before you pay utilities and tax.
Regulations add to this: since 20 May 2026 the EU regulation on short-term rentals has applied, and the Sejm is working on a national act with a register and penalties. When is it worth hiring a rental management company?
- You live far away or abroad – without someone on the spot it is hard to arrange viewings, handovers and quick repairs. A non-resident also has different tax obligations – see rental income tax for non-residents.
- You own several units – with 3–4 flats, turnover and settlements take about as much time as an extra full-time job, and some companies negotiate rates for a larger portfolio.
- You lack time or experience – good tenant screening and a proper handover protocol can save more than a year's commission.
- You let by the room or by the night – with high turnover, handling it yourself is practically a full-time job.
A manager usually does not pay off when you have one flat in your own city, a stable tenant on a long contract and a few hours a month for contact. Can the manager's cost be deducted from rental income tax?
With private rental, no. You pay the 8.5% flat-rate tax (and 12.5% on the excess over PLN 100 000) on the whole revenue without deducting costs, so the manager's commission reduces your profit in full. Costs can be deducted only in a business taxed on general rules or at a flat rate.
Does a property manager need a licence?
No. Licences and the central register of managers were abolished on 1 January 2014. A manager must, however, hold mandatory liability insurance, and a copy of the policy should be an annex to the management contract, concluded in writing or in electronic form.

Summary
Rental management usually costs 8–12% of rent per month and 50–100% of one month's rent for each new tenant, and for short-term rental 20–35% of revenue. Under the flat-rate tax it is a non-deductible expense, so it reduces income in full – in our example by 14–21%. Before you sign the contract, check what the commission is calculated on, the fees at renewal, the manager's liability insurance policy and the scope of the power of attorney.
The most important decision, however, comes earlier – when choosing the flat.
